IT Consulting in Chicago That Separates Advice From the Sale

Most technology decisions in a growing business don’t fail because the wrong product was chosen. They fail because the decision was made without a clear view of what the business actually needed, what it already had, and what the realistic cost to change would be.

Datastrive provides IT consulting to Chicago businesses that need an informed perspective before spending money on technology. That might be ongoing strategic planning through a vCIO relationship, a one-time IT assessment before a major change, project management through a migration or office setup, or vendor management so your team isn’t stuck coordinating between suppliers.

The consulting work and the managed IT work are related but separate. If you already have IT support and just need advice on a specific decision, that’s a consulting engagement. If you need both, they can be structured together. We’ll tell you which makes sense for your situation before any scope is agreed.

  • Chicago-based team working with businesses across Cook, DuPage, Lake and Will counties
  • Consulting services available independently or as part of a managed IT agreement
  • Every engagement scoped and priced in writing before work starts
  • IT support and help desk handled separately from strategic consulting work

Scope and Structure

The Difference Between IT Consulting and Managed IT Support

This distinction matters and most providers blur it because they sell both.

Operational · Ongoing

Managed IT Support

Managed IT support is operational. It covers the ongoing work of keeping your technology running: help desk requests, patching, monitoring, backups, user administration. It is recurring, relationship-based and measured by how smoothly things run day to day. See our IT services page for the full picture of what that covers.

Strategic · Project-based

IT Consulting

IT consulting is strategic and project-based. It answers specific business questions: what should we build, buy or change, in what order, and what will it actually cost? It produces a recommendation, a plan, or a set of deliverables. The engagement has a defined scope and a defined end.

The scope note in how we work: ongoing advice and project deliverables are different things, and we structure them differently. A vCIO relationship is ongoing. An IT assessment is a project. Knowing which one you need before the first conversation saves time on both sides.

The IT Consulting Services We Provide in Chicago

vCIO and IT Strategy

A virtual CIO is a senior technology advisor on a fractional basis, available to businesses that need strategic IT input without the cost of a full-time hire. Through vCIO and IT strategy services, we help with technology budgeting, infrastructure planning, vendor decisions and periodic technology reviews.

This is the ongoing advice side of consulting. You get a consistent contact who knows your business, meets with you on a regular schedule, helps make the case for technology investment internally and keeps technology decisions connected to where the business is going.

IT Project Management

A technology change without clear project management tends to drift: scope expands, timelines move, and accountability gets distributed across too many people. IT project management brings structure to server migrations, Microsoft 365 deployments, office buildouts, network overhauls and similar changes. That means defined scope, assigned responsibilities, a realistic timeline, and a clear acceptance criteria before the project is called done.

This is project-based, not ongoing. The engagement ends when the deliverable is met.

IT Vendor Management

Managing your internet provider, software licenses, hardware vendors and other technology suppliers takes time that most business owners and internal IT teams don’t have. IT vendor management takes that coordination off your team’s plate. We handle renewals, disputes, procurement questions and the day-to-day contact with your technology suppliers, giving you one accountability point instead of four or five.

IT Audits and Assessments

Before making a significant technology investment, changing providers or trying to understand where your current setup stands, an independent review is worth doing. IT audits and assessments document what you have, identify gaps and risks, and produce a written set of findings and recommendations.

An assessment is a fixed-scope project with a defined deliverable. It does not assume any follow-on managed IT work, though it often clarifies whether that makes sense.

Office IT Setup and Relocation

Moving offices or setting up a new location involves more technology coordination than most teams anticipate until they’re in the middle of it. Office IT setup and relocation covers the planning and execution of the technology side: network infrastructure at the new space, device migration, phone systems, internet cutover and the sequencing that keeps the business running through the transition. We scope and confirm the project details before any commitment is made.

Timing

When IT Consulting Is the Right Starting Point

You don’t need IT consulting every day. It tends to be the right move at specific points in a business’s growth.

Before a significant technology investment.
If you’re planning a cloud migration, a new phone system, a network overhaul or a major software change, an independent assessment of the plan before you commit avoids the more expensive mistake of finding a problem halfway through.
When technology decisions are being made at the leadership level.
Budgeting cycles, growth planning and hiring decisions that affect IT all benefit from a technology perspective that understands business context, not just specs. Most business owners at the 20 to 200 employee stage don’t have a CTO. The vCIO relationship fills that gap.
When an IT vendor relationship isn’t working.
If your current MSP or software vendor is underperforming and you’re not sure what a realistic alternative looks like, a consulting engagement can give you a clearer picture of what’s possible and what a transition would involve before you start the process.
When you’ve made a technology change that didn’t go the way it was supposed to.
A failed implementation, an unexpected cost overrun or a migration that left things messier than before sometimes just needs a senior outside perspective to sort out what happened and what the realistic path forward is.
When you’re setting up a new location or expanding.
Office moves and new office builds have a technology component that tends to get underestimated. Scoping that work early, before the lease is signed if possible, avoids the scramble at the end.
Engagement Process

How Consulting Engagements Are Structured

Every consulting engagement starts with a conversation to understand the business question and the context around it. From there, the process usually moves through these stages, though not every engagement needs all of them.

1

Scoping.

We define the question being answered, the deliverable being produced, and what the work involves. Scope and price are agreed in writing before anything starts. We don’t begin work on an undefined scope.

2

Current state review.

For most assessments and planning engagements, we need to understand what you’re currently running: infrastructure, software, vendors, costs and how your team actually uses technology day to day. This involves documentation review and direct conversations with the people who know the environment best.

3

Analysis and recommendation.

We evaluate options against your business context, not just technical specifications. A recommendation that’s technically correct but ignores your budget, your team’s capabilities or your business timeline isn’t a useful recommendation.

4

Written deliverable.

The output of a consulting engagement is something you can act on: a written report, a technology roadmap, a vendor comparison, a project plan or an executive summary depending on the scope. The deliverable is designed to be used, not filed.

5

Implementation support.

For businesses that want to carry a recommendation through to execution, we can provide project management, vendor coordination or vCIO oversight during the implementation phase. This is scoped separately and is not required as part of the consulting engagement.

Pricing

How Consulting Engagements Are Priced

Project-based engagements, such as an IT assessment, a managed project or a vendor review, are scoped and quoted at a fixed amount before work starts. Ongoing advisory relationships such as vCIO services are structured as monthly agreements with a defined scope. Either way, pricing is agreed in writing before any engagement begins. Our managed IT services pricing guide explains the factors that affect technology cost and what to look for when comparing proposals.

Security Standard

Security Planning Is Part of Every Technology Decision

Technology decisions made without a security baseline in mind tend to create security problems that cost more to fix later. Every piece of IT consulting work we do is informed by the CIS Controls v8.1 framework: a recognized security standard that provides a consistent reference point for what controls should be in place at different levels of risk and business size.

That doesn’t mean every consulting engagement is a security project. It means that when we’re recommending infrastructure changes, vendor selections, cloud migrations or office setups, the security implications of those decisions are part of the recommendation, not an afterthought.

For businesses that want a dedicated security review, our cybersecurity services cover that separately, including vulnerability assessments and the full range of managed security controls.

Industries

IT Consulting for Chicago Industries

The right technology decisions for a law firm look different from the right decisions for a manufacturer or a healthcare practice, because the software they run, the data they handle and the regulations they operate under are different.

See all industries we support for the full list.

We consult for businesses across several Chicago industries. Law firms typically have questions around document management, access controls and the reliability of practice management software. Healthcare practices need careful thinking about clinical application support and data access. Manufacturers often have separate office and production environments with different technology requirements. Financial services firms deal with client data and vendor relationships that carry their own risk profile. Professional services firms tend to have distributed teams and software sprawl that consulting can help rationalize.
