When You Need an IT Consultant

Common Situations That Call for Outside IT Strategy

You don’t need IT consulting every day. You need it at specific inflection points — and recognizing those moments is half the battle.

Considering a major infrastructure investment

Server refresh, cloud migration, network overhaul, or M365 deployment? Outside consulting validates the approach before six-figure spend.

Compliance audit or framework adoption

HIPAA, PCI, SOC 2, NIST CSF — adopting a framework means assessing your current state, gap analysis, and remediation roadmap.

M&A IT due diligence

Acquiring a company? IT due diligence reveals what you’re buying — and the integration cost no one mentioned in the LOI.

IT vendor evaluation or RFP

Picking an MSP, an ERP system, or a cloud platform is a multi-year commitment. Independent guidance avoids vendor lock-in regret.

Strategic planning at the executive level

Board meetings, growth planning, and capital allocation all need a senior technology voice. Most CEOs don’t have one in-house.

Recovering from a bad IT decision

Failed implementation, costly outage, or vendor walking away? Sometimes you need a senior outside view to plot the recovery path.

Our Process

How IT Consulting Engagements Actually Work

Six phases from initial discovery through delivery — every engagement scoped before work begins, fixed-fee where possible, deliverables defined upfront.

Discovery & Scoping

Initial conversation to understand the business question, technology context, and what success looks like. Most discoveries take 1-2 hours.

Assessment

Document the current state — infrastructure, applications, vendors, costs, security posture. Interviews, documentation review, technical discovery.

Learn more →

Analysis & Recommendations

Evaluate options against the business goal. Vendor-neutral, business-context-aware, with clear pros/cons and total cost of ownership.

Learn more →

Roadmap & Planning

Translate recommendations into an actionable roadmap with sequencing, dependencies, budget, and timeline.

Learn more →

Documentation & Delivery

Final deliverable — written report, executive summary, supporting analysis. Designed to be referenced and acted on, not shelved.

Implementation Support

Optional — implementation oversight, vendor management, or fractional CIO support during execution. Where most consultants stop, we keep going.

Why Datastrive

One Hire vs. an Entire Bench.

Hiring a single in-house IT person costs roughly the same as a full Datastrive managed support agreement — but a single person can’t cover 24/7, can’t be a senior network engineer and a cybersecurity specialist and a vCIO at the same time, and goes on vacation. Managed IT support gives you depth, redundancy, and predictable cost without the recruiting risk.

FAQ

Frequently Asked Questions

Common questions about IT consulting engagements and how Datastrive structures advisory work.

What’s the difference between IT consulting and managed IT support?
Managed IT support is ongoing operational support — helpdesk, monitoring, patching, day-to-day. IT consulting is strategic project work — assessment, planning, vendor evaluation, M&A, roadmaps. Different skills, different engagements.
Do you also do IT strategy?
Yes — IT strategy and vCIO work is a specific consulting offering. See our IT Strategy & Planning page for the ongoing strategic relationship version, or stay here for project-based consulting.
How are consulting engagements priced?
Most engagements are fixed-fee scoped against deliverables. Hourly is available for ambiguous-scope discovery work. Retainers (monthly hours) are common for ongoing advisory. We quote in writing before any work starts.
What size companies do you consult for?
Typically 50-1000 employees. Smaller companies usually get more value from managed IT (which includes vCIO time). Larger companies often need specialized vendors for particular technology areas.
Are recommendations vendor-neutral?
Yes. We don’t resell software or hardware, so there’s no commission incentive to recommend a particular vendor. Recommendations are based on fit, not financial relationships.
Can consulting lead to managed IT engagement?
Often — but not required. About half our consulting clients eventually move to managed IT; half stay independent and use us for periodic advisory work.
